IV. Officers and Duties
Support Staff Council Organization Guidelines
A. Officers
Officers of the Support Staff Council include president, vice-president, secretary, and treasurer. The officers will be elected
from within the membership of the Support Staff Council at the May meeting each year or as vacancies occur. The
secretary position may be appointed in accordance with Section IV.B.3. The past president will serve as an advisor to the
succeeding president.
B. Duties of Officers
1. President
a. Preside at all Support Staff Council and Executive Committee meetings.
b. Ensure that a quorum is obtained in order to conduct business objectively.
c. Create an agenda, to be distributed at least one week prior to the meeting date, for each regular and
special Support Staff Council meeting.
d. Serve as spokesperson for the Support Staff Council.
e. Serve as a representative on committees as appointed by the University President.
f. Serve as a representative on other University councils or committees as required.
g. Ensure attendance at all Board of Governors meetings by a Support Staff Council member.
h. Preside over May meeting until officers are elected. Refer to Section V.C.
2. Vice-President
a. Assume the responsibilities, powers and prerogatives of the president during that officer's absence.
b. Perform those Support Staff Council related services and duties that the president may assign and/or
authorize.
c. Appoint committees and committee chairpersons with the approval of the Support Staff Council.
d. Maintain records of all Support Staff Council activities. Refer to Section VI.
e. Keep an accurate list of support staff serving on ad hoc, standing, and other University committees.
f. Serve as representative on the Professional Staff Council.
3. Secretary
a. Ensure the recording of the Support Staff Council meetings and preparation of the minutes.
b. Ensure distribution of minutes and reports to Support Staff Council members within a reasonable time.
c. Perform those Support Staff Council related services and duties that the president may assign and/or
authorize.
d. Supervise the collection, maintenance, and availability of resource material.
A recording secretary may be appointed from the support staff constituency as a non-voting member or the University
may provide necessary secretarial/clerical assistance to the Support Staff Council through the office of Human
Resources.
Note: In all Support Staff Council publications and activities, reference should be made to recording secretary not Support
Staff Council secretary.
4. Treasurer
a. Monitor reports to ensure accurate and up-to-date records for all finances concerning Support Staff Council.
b. Perform those Support Staff Council related services and duties that the president may assign and/or
authorize.
c. Present a financial report at each monthly Support Staff Council meeting or as requested by the president.
C. Removal from Office
A Support Staff Council officer may be removed from office by a two-thirds majority vote of the elected Support Staff
Council. The vote will be by secret ballot monitored by the Elections Committee.
