Purpose

Position descriptions are developed to describe the duties and the minimum qualifications for a position, to determine the classification/compensation of a position, to comply with federal and state laws such as the Americans with Disabilities Act, and to provide a basis for performance appraisals.

Procedures

To ensure the accuracy of position descriptions, supervisors and employees will work together to review position descriptions on an annual or as necessary basis, in conjunction with the annual performance appraisal process.

Position descriptions may be updated at any time by the supervisor or by the employee. However, the supervisor, prior to the classification review, must agree upon any changes to the position description. Supervisors and employees are encouraged to work together to update position descriptions, because a more thorough description will be developed as a result of a team effort. Supervisors are not authorized to deny an employee's request to have the position reviewed.

If a position classification is changed due to updating a position description, it may not be submitted for change again for a minimum of one year. Exceptions to this will be approved by the Director of Human Resources on a case-by-case basis and will only be approved if the duties of the position change significantly.

Temporary changes to the duties of a position may not result in a revision of the job description but may result in a temporary adjustment in pay.

Job Audit

A Human Resources Generalist may perform a job audit when the duties of a position description change. The Generalist will visit the department and work with the supervisor and the employee in the position to ensure the position description accurately reflects the duties and the level of responsibility of the position. After an audit, the position description is reviewed by the HR Generalist regarding content and proper classification.
